This Grievance Procedure outlines the steps to be followed when raising, handling, and resolving grievances in a timely and constructive manner.
2. Scope of the Procedure
This procedure applies to:
- Employees of Recsure Personnel.
- Candidates placed or in the process of placement through Recsure Personnel. Grievances may include issues related to work conditions, policies, interpersonal conflicts, harassment, discrimination, or any other matter affecting an individual's experience with Recsure Personnel.
3. Grievance Procedure Steps
Step 1: Informal Resolution
- Objective: To resolve issues promptly and informally where possible.
- Process: The individual experiencing a grievance should initially attempt to address the matter informally by discussing it directly with the person involved or with a line manager or recruitment consultant.
- Outcome: Many grievances can be resolved quickly and amicably through open communication. If the issue remains unresolved or the individual prefers a formal process, they may proceed to Step 2.
Step 2: Formal Grievance Submission
- Written Grievance: The individual should submit a written grievance to their manager or HR representative, detailing the nature of the grievance, relevant dates, people involved, and any supporting documentation.
- Acknowledgment: The grievance will be acknowledged in writing within 5 business days of receipt.
- Confidentiality: All grievances are treated confidentially and shared only with those directly involved in the investigation.
Step 3: Investigation and Meeting
- Investigation: An impartial investigator will be appointed to review the grievance thoroughly. This may involve collecting relevant documents and interviewing witnesses.
- Grievance Meeting: A meeting will be arranged with the individual raising the grievance, who may bring a colleague or representative for support. The purpose of the meeting is to discuss the grievance and gather any additional information.
- Response: Following the meeting, the investigator will prepare a summary report with findings and recommendations. This will typically be provided within 10 business days of the grievance meeting.
Step 4: Outcome and Resolution
- Written Response: The outcome of the investigation will be communicated in writing, including any actions to be taken to resolve the issue.
- Further Action: If the grievance is upheld, Recsure Personnel will take corrective measures, which may include policy changes, further training, or disciplinary action where necessary.
- Appeals: If the individual is dissatisfied with the outcome, they may proceed to the appeal process (Step 5).
Step 5: Appeal Process
- Written Appeal Submission: An appeal must be submitted in writing within 7 business days of receiving the grievance outcome, explaining the reasons for the appeal.
- Appeal Meeting: An appeal hearing will be arranged, and an impartial senior manager or HR representative not involved in the initial investigation will conduct the appeal process.
- Final Decision: The decision made at the appeal stage is final, and the individual will be notified of the outcome in writing.
4. Principles of the Grievance Procedure
- Fairness: Recsure Personnel is committed to handling all grievances fairly and without bias.
- Confidentiality: All grievance discussions and records are kept confidential and shared only with relevant individuals involved in the resolution.
- Timeliness: Grievances will be addressed as swiftly as possible, and all timeframes will be communicated clearly to the individual raising the grievance.
- Non-Retaliation: No one will face discrimination or retaliation for raising a grievance in good faith.
5. Records and Documentation
- Documentation: Records of grievances, investigations, and outcomes are securely maintained in line with Recsure Personnel’s data protection policies.
- Access to Records: Only authorized personnel have access to grievance records, which are kept confidentially.
